Job Purpose :

The Corporate Assistant is responsible for the administrative organization of the General Management and acts as an interface between the Managing Director and his various correspondents.

Main responsibilities:

1. Receive and process incoming and outgoing mail.

  • Initiation of correspondence at the Director's request: drafting of letters, memos and mission orders
  • E-mail management

2. Cheque processing

3. Receipt and processing of supplier invoices, transit and transport invoices

  • Invoice reception in SAP
  • Monitor invoice conformity
  • Processing and transmission to accounting
  • Petty cash management

4. Welcome, receive and assist visitors

5. Internal and international travel management

  • Hotel and accommodation reservations
  • Preparation of mission orders
  • Ensure that JMPs are drawn up
  • Ensure reimbursement of mission expenses
  • Ticket requests
  • Challenge the flight plan to obtain the best cost
  • Procedure for obtaining visas from embassies
  • Schedule meetings in Outlook
  • Prepare meeting room
  • Ensure logistics are in place
  • Make appointments/manage General Manager's diary
  • Provide support in organizing company events

6. Ensure smooth organization of secretariat, internal and external meetings and conferences initiated or hosted by the organizing company.

7. Provide support in all organizations

8. Classification and archiving of documents.


  • With a Bachelor's degree in Executive Assistant, you have at least 2 years' professional experience in a similar position.

  • Good oral and written expression

  • Knowledge of SAP ideally
